Refund Policy

This Refund Policy (the "Policy") describes the circumstances in which IntakePilot ("we," "our," or "us") offers refunds for subscriptions and other charges relating to our website, application, and services (collectively, the "Services"). This Policy forms part of, and should be read together with, our Terms of Service. Capitalized terms not defined here have the meaning given in the Terms of Service. In the event of any conflict between this Policy and the Terms of Service with respect to refunds, this Policy controls.
1. Billing and Merchant of Record
Payments for the Services are processed by our authorized reseller and Merchant of Record, Paddle.com Market Limited and its affiliates ("Paddle"). When you purchase a subscription, Paddle is the seller of record for that transaction. Refunds, where granted under this Policy, are issued through Paddle to the original payment method used at the time of purchase. Paddle's own buyer terms may additionally apply to your purchase.
2. Free Trial
We offer a fourteen (14) day free trial so that you may evaluate the Services before incurring any charge. No payment is taken during the trial period, and you may cancel at any time before the trial ends without being billed. Because the trial allows you to assess the Services in full before purchasing, we encourage you to use it to determine whether the Services meet your needs.
3. Subscription Fees Are Non-Refundable
Except as expressly set out in this Policy or as required by applicable law, all subscription fees are non-refundable. Subscriptions renew automatically at the end of each billing cycle (monthly or annual, as selected) until cancelled. You may cancel your subscription at any time from your account settings or by contacting us; cancellation stops future renewals but does not retroactively refund amounts already paid for the current billing period.
We do not provide pro-rated refunds or credits for partial billing periods, for periods during which your account remained active but unused, for downgrades made mid-cycle, or for unused time remaining on a subscription following cancellation. If we suspend or terminate your account for breach of the Terms of Service, you will not be entitled to a refund for any unused portion of your subscription.
4. Statutory Consumer Withdrawal Rights
If you are a consumer resident in the European Union, the United Kingdom, or another jurisdiction that grants a statutory right of withdrawal, you may be entitled to cancel a purchase within fourteen (14) days of the transaction without giving any reason. Nothing in this Policy limits or excludes any non-waivable statutory right you may have.
Please note that the Services are supplied as digital content and online services. Where you expressly request that we begin supplying the Services during the statutory withdrawal period (for example, by activating a paid subscription immediately) and you acknowledge that you thereby lose your right of withdrawal once the Services have been fully performed, your statutory withdrawal right may no longer apply, or may be reduced in proportion to the Services already provided, to the extent permitted by applicable law.
5. Discretionary and Exceptional Refunds
In addition to your statutory rights, we may, at our sole discretion, issue a full or partial refund in exceptional circumstances, including:
- Duplicate or erroneous charges — where you have been charged more than once for the same subscription period, or charged in error.
- Failed or undelivered service — where a verified, prolonged technical fault on our side prevented you from accessing the Services for a material portion of a paid billing period and we were unable to resolve it.
- Unauthorized payments — where a charge was made without your authorization, subject to verification.
Discretionary refunds are assessed case by case and granting one instance does not obligate us to grant another. The Services rely on third-party providers (including AI, SMS, email, and hosting providers); as stated in our Terms of Service, we do not refund charges on the basis of third-party outages, missed notifications, AI-generated content, or matters outside our reasonable control.
6. How to Request a Refund
To request a refund or to exercise a statutory withdrawal right, contact us at forelox12@gmail.com with the email address associated with your account, the approximate date of the charge, and the reason for your request. We aim to acknowledge refund requests within five (5) business days. Approved refunds are processed through Paddle to your original payment method; the time for the refund to appear depends on your payment provider and is typically five to ten (5–10) business days.
7. Chargebacks
If you believe a charge is incorrect, we ask that you contact us before initiating a chargeback or payment dispute with your bank or card issuer, so that we can resolve the matter directly and more quickly. We reserve the right to suspend or terminate accounts associated with fraudulent or unjustified chargebacks.
8. Changes to This Policy
We may modify this Policy at any time. If we make material changes, we will notify you by email or by posting a notice on our platform. Any changes apply prospectively to purchases made after the effective date of the updated Policy. Your continued use of the Services after the effective date constitutes acceptance of the updated Policy.
